How AAPL Solutions moved its export business from Excel and folders onto one system
A growing merchant exporter of pharmaceutical equipment in Mumbai. Its purchases, export documents, shipments and accounts now run on Expodite, with 20 people using it every day.
The challenge
AAPL Solutions buys pharmaceutical equipment from many vendors and exports it under its own name. Its export volumes were rising every month.
In 2024 the work was spread across tools. Export documents were made in Excel, papers were kept in file folders, projects were tracked in Jira and the books were kept in Tally. The company went looking for export management software that could bring it all together.
What they did
- Purchases run through Expodite. Vendor purchase orders and procurement are managed in Expodite. It also provides the proof of export documents that vendors need when they supply at 0.1% GST.
- Every document from one record. Expodite makes the customs documents, including the customs invoice, tax invoice, packing list and the declarations, along with documents for their industry: ADC documents, certificates of analysis and MSDS forms.
- Partial shipments. Goods from different vendors arrive at different times and in different quantities. Expodite's support for partial shipments lets the team fulfil an order in as many shipments as it takes.
- Packing set up their way. Packing is configured for each shipment, by package type and by pallet.
- Connected to Tally. Purchase orders and sales invoices now stay in step between Tally and Expodite.
- Reports for their own needs. Four reports were added for AAPL: a product-wise export register, export deliveries due next week, export payments outstanding and supplier payments outstanding.

What changed
All of AAPL's export processes now run around Expodite. Since the Tally integration, the accounts team uses it too, to reconcile client payments and the GST, duty drawback and RoDTEP amounts receivable.
Two-factor login and a complete audit trail give the management confidence that their data is secure.
AAPL has used Expodite for over two years, and the system has kept pace as the business has grown quickly.
