Export order management

Every export order, from confirmation to close

Turn an accepted quotation into a sales order in one step. Expodite holds the work until the buyer's PO is in, then links every purchase, job order and shipment to the order, so you always know where it stands.

  • Start from a quotation, a past order or a blank order
  • Nothing is bought or shipped before the order is confirmed
  • Pro forma invoice issued and kept as a PDF

How it works

  1. Step 1

    Create the order

Create the order from an accepted quotation, repeat an earlier order, or start blank. Later changes to the quotation do not change the order.

  2. Step 2

    Confirm with the buyer's PO

Attach the buyer's PO, or confirm without one. At confirmation, Expodite asks for anything still missing and checks the buyer's credit.

  3. Step 3

    Produce, ship and close

Raise purchase orders, job orders and shipments against the order, and follow its status from production to shipped. Ship in parts if the buyer wants it, and the order shows what is left.

Confirmed first

No money is spent on an order the buyer has not confirmed

Until the order is confirmed, purchases and shipments against it stay locked. Your team cannot buy material or book a shipment on a verbal promise by mistake.

  • Buyer's PO kept on the order
  • Purchases and shipments locked until confirmation
  • Credit checked before work begins
Repeat and sample orders

Repeat business in one step, samples handled properly

Most exporters ship the same products to the same buyers again and again. Repeat an earlier order in one step and change only what is new. Samples and free-of-cost shipments are shipped and documented as usual, without creating a receivable or a realisation deadline.

  • Repeat any earlier order
  • Samples and free-of-cost shipments handled properly
  • One quotation can raise several orders
Pro forma invoice

A pro forma your buyer and bank can use

Prepare the pro forma invoice from the order and preview it before you issue it. The issued PDF is kept on the order. If the order changes, issue it again.

  • Preview before issuing
  • Issue again if the order changes
  • Issued PDF kept on the order
Right people, right view

Production sees the work, not the prices

Your production staff can see their job orders without seeing what the buyer is paying. Every change to the order is kept with the name and date.

  • Prices hidden from people who do not need them
  • Every change recorded
  • Records that cannot go out of step

Questions

Can one order be shipped in parts?

Yes. An order can go out in several shipments, and one shipment can carry goods from more than one order. The order shows what is still to go.

How do we handle samples and free-of-cost shipments?

Mark the order as a sample or free of cost. The goods are shipped and documented as usual, but no receivable is raised and no realisation deadline starts.

Can we record advance payments and LC details on the order?

Yes. Advance payment, LC details and packing credit are recorded against the order once it is confirmed.

Can an order be cancelled?

Yes. Expodite protects orders that already have goods on a shipment, so your records stay in step.

How does order management fit into Expodite's export ERP?

The sales order is the centre of the record. Purchases, job orders, shipments, documents and payments all link back to it, so you can trace any order from enquiry to payment.
