Stock allocation to export orders

Know which orders your stock is promised to

When a sales order is confirmed, its stock is set aside. Before packing, you choose the lots for each shipment, with older stock suggested first. Stock leaves only when the goods are packed.

  • Promised and free stock shown on every product
  • Older stock suggested first, never forced
  • Stock leaves at packing, and comes back if unpacked

How it works

  1. Step 1

    Confirm the order

Confirming a sales order sets its stock aside. Promised and free stock update everywhere. If the order needs more than you have, Expodite warns you.

  2. Step 2

    Pick lots for the shipment

Plan which lots go on each shipment before packing. One order line can ship from several lots. If you leave older stock behind, you note why.

  3. Step 3

    Pack and ship

Choose the batch as you pack. Packing takes the stock out, and unpacking puts it back. A shipment always leaves with its stock accounted for.

Who holds the stock

See which sales orders hold each product

For each product, see every sales order holding that stock, with the client, ship-by date and quantity still to ship. When a new enquiry comes in, you know at once what is really free to sell.

  • Promised and free stock on every product
  • Orders holding stock listed with client and ship-by date
  • Stock freed as goods are packed
Oldest stock first

Ship older lots first, with a reason when you do not

Expodite suggests older lots first, so stock goes out before it ages. You can always choose differently, for example when a buyer asks for a newer crop, and Expodite records why.

  • Older stock suggested first
  • A reason recorded when older stock is left behind
  • Less stock lost to expiry
Nothing moves until packing

Plan picking early, change it freely

Plan lot picking a week ahead and change it as plans change. Stock only moves when goods are packed. The packing screen shows what stock allows, and any change to packing keeps stock correct.

  • Picking planned ahead, changed any time before packing
  • Packing shows what stock allows
  • Unpacking puts stock back

Questions

When is stock set aside for an order?

When the sales order is confirmed. The actual lots are chosen when you pick for the shipment, so you keep the freedom to choose until packing.

What if I confirm more than I have in stock?

Expodite warns you but does not stop the order. The shortfall is shown in red, so everyone can see it.

Can one order line ship from several lots?

Yes. Split the line across as many lots as you need when you pick for the shipment, or choose the batch as you pack.

Do I have to ship the oldest stock first?

No. Expodite suggests it, and you can choose differently. If you leave older stock behind, Expodite asks for a reason and keeps it on record.

When does stock actually leave?

At packing. Packing takes the stock out and unpacking puts it back, so a shipment always leaves with its stock accounted for.
