Goods receipt and quality checks

Check goods at the door, before they enter stock

Receive against the purchase order and inspect at the same time. Record the batch, manufacture and expiry dates as goods come in. Rejected goods never enter stock, and the vendor still owes them.

  • Quantity accepted and rejected recorded on the receipt
  • Batch, manufacture and expiry dates for every line
  • No receiving more than you ordered

How it works

  1. Step 1

Open the receipt from the PO

Start from the purchase order, so you only receive what is still due. Add the receiving location, date and truck or LR number.

  2. Step 2

    Inspect and record

Enter what you accepted and what you rejected, with a note such as moisture, damage or wrong grade. Add the batch, manufacture and expiry dates. Goods that need a quality check cannot skip it.

  3. Step 3

    Confirm and post

See exactly what will go into stock before you confirm. Confirming adds the goods to stock at their cost.

Inspection at the receiving counter

Rejected goods stay the vendor's responsibility

Quality checks happen on the receipt itself, not as a separate step later. Rejected goods are not received, so the vendor still owes them and can supply them again. Attach lab reports and certificates to the batch, so the evidence stays with the goods.

  • Accepted and rejected quantity on the same receipt
  • The vendor still owes what you rejected
  • QC reports and certificates kept with the batch
Purchase units and stock units

Receive in bags, keep stock in kilos

Suppliers sell in bags, drums or cartons. Your stock and your export documents need kilos. Receive in the unit you bought in and Expodite keeps stock in the unit you sell in, with both figures on record. If someone tries to receive more than was ordered, Expodite stops it.

  • 200 BAG received, 10,000 KGS in stock, both kept
  • Clear warning when a receipt goes over the order
  • No paying for goods you never ordered
Corrections without losing history

Adjust or cancel a receipt, with a reason

Mistakes happen at the gate. Adjust a receipt, or cancel it with a reason. Nothing is deleted, so the history stays complete. Your payables and your stock always stay in step.

  • Every correction kept on record
  • A reason for every cancellation
  • Payables and stock stay in step

Questions

What does the quality check record?

What you accepted, what you rejected and the reason. You can attach QC reports and certificates to the batch, so the evidence stays with the goods.

What happens to goods we reject?

Rejected goods do not enter stock. The vendor still owes that quantity and can supply it again, or you can close the PO short.

Can I see what a receipt will do before I confirm it?

Yes. Expodite shows exactly what will go into stock before you confirm. Confirming adds it to stock straight away.

Can I correct a receipt after it is posted?

Yes. Adjust it, or cancel it with a reason. Nothing is deleted, so the full history is kept, and your stock and vendor bills stay in step.
