Quote a new buyer the same morning

Start a quotation with just the basics for each line. Get it approved inside your company, print it in your own format, and turn it into an order when the buyer says yes.

  • No client record or item master needed first
  • Internal approval before the buyer sees a price
  • Every revision kept, and any one can be restored
No set-upneeded before the first quote

How it works

  1. Step 1

    Pick the buyer

Choose a client, or add a new prospect on the spot with just a few details. Currency and payment terms fill in for you, and you can change them.

  2. Step 2

    Fill the lines quickly

Each line needs only the basics. Copy a line you quoted or sold before, paste lines from a spreadsheet, or duplicate a whole quotation. Product details can wait until the order.

  3. Step 3

    Approve, share and convert

Submit the quotation for approval. Once approved, download the PDF in your own template, share it with your buyer and mark it as sent. When the buyer accepts, turn it into a sales order in one step.

Full commercial terms

Everything your buyer needs to decide

Incoterms, payment terms, mode of shipment, ports, validity, delivery date and the bank your buyer pays into all sit on one quotation. Your team sees at a glance what is still missing.

  • Advance, credit and LC payment terms
  • Sea, air, road and multimodal
  • Extra charges added to the totals
Approval inside your company

No price reaches a buyer without the right sign-off

Internal approval is kept separate from the buyer's acceptance. A quotation cannot go for approval with key details missing. It can be withdrawn with a reason, and every change is kept with the name and date.

  • Key details checked before approval
  • Withdraw with a reason
  • Every change recorded with name and date
Revisions

Know exactly what you offered, and when

Buyers ask for changes. Create a new revision and the old one stays as it was, and prints exactly what it said at the time. Nobody mixes up versions. If a change was a mistake, restore an older revision.

  • Each revision kept on its own
  • Old revisions print as they were
  • Restore any earlier revision
Margin on every line

See the margin while you set the price

Lines priced from a cost sheet carry the cost and margin behind them. Type a new rate and the margin at that price appears at once, against your floor. Costs never appear on the PDF.

  • Costs seen only by staff you choose
  • Live margin as you change the rate
  • Typed-in prices work the same way

Questions

Do we need to set up the buyer and products before quoting?

No. Add a new prospect with just a few details and type each line in. Full product details are asked for when the order is confirmed.

How does the quotation reach my buyer?

Download the PDF, printed in your own template, and share it with your buyer. Then mark it as sent, so your team always knows where each quotation stands.

What happens when the buyer accepts?

Mark the quotation as accepted and create a sales order from it in one step. An accepted quotation stays available, so you can raise further orders against it for later releases.

Can I quote in US dollars or euros?

Yes. Each quotation has its own currency. Expodite also keeps the amount in your base currency, at a conversion rate you can set yourself.

Is export quotation software part of Expodite's export management software?

Yes. Quotations are part of Expodite, so an accepted quotation flows into the order, the purchases, the shipment and the documents without retyping.
