Back-to-back ordering for exporters

Buy exactly what your export orders need

Merchant exporters buy line for line against their sales orders. Manufacturer exporters buy the components in a bill of materials. Expodite supports both, and shows how much of each export order is already bought.

  • Purchase orders raised straight from confirmed sales orders
  • Components to buy listed when an order is confirmed
  • One purchase for several sales orders, each order tracked

How it works

  1. Step 1

    Confirm the sales order

Once a sales order is confirmed, Expodite lists what needs to be bought for it, with quantities and need-by dates. For products with a bill of materials, you see each component.

  2. Step 2

    Select and raise the PO

Your buyer selects what to buy, picks a vendor and creates the purchase order. Quantities and rates are filled in for you and can be changed before saving.

  3. Step 3

    Track coverage

Every sales order shows how much of it is bought and on which POs. Every PO line shows which sales orders it serves.

For merchant exporters

Back-to-back buying, line for line

Most merchant exporters buy only after the buyer confirms. Raise purchase orders straight from confirmed sales orders. Buy the same product for three sales orders on one PO line at one rate, and each order's share is still tracked. You can also split one sales order across vendors.

  • Purchase orders straight from confirmed sales orders
  • One PO line for several orders, each order's share kept
  • Split one sales order across vendors
For manufacturer exporters

Buy the parts for what you make

Give a product a bill of materials: the components you buy for it. A Spice Gift Box, for example, needs Black Pepper Whole and a Kraft Gift Carton. When the sales order is confirmed, Expodite lists the components to buy, so nothing is missed. Purchase orders already raised are not disturbed if you correct a bill of materials later.

  • Components listed when the sales order is confirmed
  • See what is still to buy, order by order
  • Correct a bill of materials without disturbing POs
Use stock you already hold

Buy only what you need, if you choose

When you raise a PO, you can see the stock you already hold beside what you need, with a suggestion to buy only the difference. It is only a suggestion. Your buyer can change the quantity before the PO is saved.

  • Stock in hand shown beside what you need
  • Suggested quantity, always editable
  • Less cash tied up in stock you already have

Questions

Does this work for merchant exporters who do not manufacture?

Yes. Back-to-back buying is made for merchant exporters. You raise purchase orders straight from confirmed sales orders, and every sales order shows the POs that cover it.

Who decides what gets ordered?

Your buyer. They select what to buy, choose a vendor and create the PO. Quantities and rates are filled in for them, and both can be changed.

Does Expodite use the stock I already have?

When you raise a PO, you can see the stock you already hold and a suggestion to buy only the difference. The quantity is always yours to decide.

Can one purchase order line serve several export orders?

Yes. One PO line can serve several sales orders, and each order's share is tracked separately. You can always see how the quantity is shared.

What if I correct a bill of materials after orders are confirmed?

The list of components to buy can be updated for that order. Purchase orders already raised are not disturbed, and anything that needs a second look is flagged for you.
