Excel or export software: when spreadsheets start costing you money

Five signs your export business has outgrown spreadsheets, and how to switch without stopping shipments.

Contents
Key points
  • Excel is not the problem. Using it as the system that runs your exports is.
  • The cost does not show as a line item. It shows as mistakes, delays and decisions made without the numbers.
  • You can switch to export software without stopping shipments, if you do it buyer by buyer.

Excel built many export businesses

Most established exporters in India grew on spreadsheets and Word templates. They are flexible, everyone knows them, and they cost nothing. For a business shipping a few containers a month to a few buyers, they work.

The trouble starts slowly. Each new buyer gets a new template. Each new need gets a new sheet. Ten years later, the business runs on dozens of files that only a few people understand. Nobody decided this. It just grew.

Five signs you have outgrown spreadsheets

1. The same data is typed more than once. The buyer's name, the product, the quantity and the price are typed into the proforma, then the invoice, then the packing list, then the bank letter. Every retyping is a chance for a mismatch, and mismatches cost you payments and refunds.

2. You cannot see the status of an order without asking. To know where an order stands, you call someone, who opens a file, who checks with someone else.

3. You do not know your real margin until the year ends. Costs sit in one place, sales in another, and freight in a third. Margin per shipment is a calculation nobody has time to do.

4. One file is open on one person's laptop. Only one person can edit the master sheet at a time. If that laptop is lost, so is part of your business.

5. Growth means hiring. Every new buyer adds work that only more people can absorb. Your volumes grow, but so does the team, and your margin per shipment does not improve.

If three or more of these are true, spreadsheets are already costing you more than export software would.

What export software changes

Export management software keeps each order and shipment as one record. Documents, purchases, payments and compliance all draw from it.

  • Data is entered once and flows into every document.
  • Anyone with access can see the status of any order.
  • Costs and sales sit together, so margin is visible as you go.
  • The business's knowledge is in a system, not in one person's files.

It does not replace your accounting software. Accounts stay in Tally or your current system, and the two work side by side.

Switching without stopping shipments

The fear is real: you cannot pause exports for a software project. You do not have to.

Start with your existing formats. Your buyers should receive documents that look the same as before. A good vendor sets up your formats for you.

Move one buyer or one product line first. Run it in the new system while everything else continues as usual. When the team is confident, move the next.

Bring your experienced people in early. They know every buyer's requirements. If they help set up the system, they will trust it.

Set a date to stop the old way. Running both forever doubles the work. Once a buyer has moved, close its spreadsheet.

How Expodite helps. Expodite is export management software built for Indian exporters. We set up your documents in your buyers' formats and train your team, and most customers go live in 2 to 4 weeks.

Questions to ask your team

  1. How many spreadsheets do we use to run orders, shipments and payments?
  2. How many times is a shipment's data typed before the documents go to the bank?
  3. How long does it take to tell me the status of every open order?
  4. What is our margin on last month's shipments, buyer by buyer?
  5. Which buyer would be the easiest to move to a new system first?

Quick answers

Can I run my export business on Excel?
You can when you are small. As buyers and volumes grow, retyping and scattered files start to cause mistakes and hide your real margin.
Does export software replace Tally?
No. Export software runs your orders, shipments and documents. Accounts stay in Tally or your accounting software, and the two work together.
